Site administration
The site trail that protects the practice.
Set up the contract by cost centre, then log each claim against it — and the variations and defects as the project runs — with dates, numbers and status, so the paper trail is built during construction, not reconstructed after something has gone wrong. Each claim is approved line by line against the adjusted contract.
Free plan: one project, one user. Current plan inclusions and terms are on the pricing page.
The problem
Site instructions get given verbally, variations get agreed in passing, and the record only gets written up once there is a dispute — when it is already too late.
Every variation, numbered and costed.
Each variation carries a number, a date, a cost centre, its construction cost, the fee it attracts, a status and a cause — so the adjusted contract sum is never a surprise.
Defects tracked to close-out.
Raise each defect against a location and a type, and move it from open to in progress to resolved. Filter the schedule to one room before a walk-through. The footer counts what’s open, in progress and resolved.
Numbers everyone can point to.
Every variation carries a number and every defect an item number, so drawings, orders and site conversations all speak about the same thing.
The rest of it
Variation log
Number, date, cost centre, construction cost, fee, status and cause on every variation.
Defect schedules
Item, description, location, type and status, with a photo column for the evidence.
Locations
Tag each defect to a room or zone and filter the schedule to one space.
Revisions
Each schedule carries a revision and a revision date, so the copy on site is the current one.
Export
Export the defect schedule when it’s time to issue it.
Progress claims
Set up the contract on the Site tab, then log each claim against it.
Build the record while it still counts.
