Meeting agendas & minutes

The agenda becomes the minutes. The minutes become the work.

Write the agenda, run the meeting against it, then turn the selected items into numbered minutes in one step. Each item can carry a location, a trade, a due date, a task mark and a variation mark — so decisions leave the meeting as tracked work, not a document nobody opens again.

Free plan: one project, one user. Current plan inclusions and terms are on the pricing page.

Agenda for 2603 Gosford Project — titles and numbered sub-items, attendees and distribution list.

Minutes get typed up on Friday, emailed once, and never read again. The instruction inside item 4.2 becomes a variation nobody logged.

i

Agenda in, minutes out.

Tick the agenda items you covered and create the minutes. Rosco asks whether to keep those items on the agenda or clear them, so a standing item can roll into the next meeting while the rest move across. Design minutes and site minutes stay in separate registers on the same project.

Exports use your own .docx template, so minutes go out on studio letterhead.

ii

Filter by location or trade, and read only what’s yours.

Tag each item with a location and a trade as you write it. On site that means you can filter a long register down to the bathroom, or to everything the electrician is waiting on, then export that filtered set for the trade meeting.

  • Location filter for room, level or zone
  • Trade filter across every open item
  • Search descriptions and attendee initials
  • Resolved and unresolved as separate views
iii

An item can become a task or a variation without leaving the register.

Mark a minute as a task and it sits on the project’s task list, assigned and dated. Where the instruction changes scope, raise it as a variation from the same row — with the meeting item and date as its reference. The minute stays the source of truth, and the follow-through is tracked against it.

iv

Paste the transcript, get structured minutes.

Drop in a recording transcript or a .txt file and Rosco returns numbered items under titles, ready for you to edit, assign and resolve. You still own the wording — it just isn’t a blank page on Friday afternoon.

The rest of it

Design and site registers

Separate tabs for design minutes and site minutes, both numbered and both on the project.

Attendees and distribution

Initials against items, and a distribution list so the same people get every set.

Numbered items

Titles with sub-items that keep their numbers, so 4.2 still means 4.2 three meetings later.

Resolved tracking

Mark items resolved as they close out. What’s left is the open list for the next meeting.

Your template

Upload a .docx minutes template once; every export comes out in your own format.

Undo

Step back through edits while you’re writing live in a meeting.

Leave the meeting with the work already logged.
